What does process standardisation mean for your business?

Standardisation is a balance between creating cohesion across interlocking processes and finding the flexibility needed to adapt and chance to ensure ongoing value and open the doorway to optimised automation.

Get ruthless with your processes. This is what McKinsey recommends to the enterprise. Not by ensuring that every last process within the organisation is standardised and stuck within rigid walls, but rather that they achieve balance within this standardisation to ensure that they are capable of evolving with time, needs and value.

According to the research firm, one of the biggest issues that organisations face when it comes to process standardisation is that they tend to bulk up and cause complexity rather than value. This is a gear change from their original intention – to optimise systems and metrics to improve business processes and build a more stable foundation from which the organisation can explore increased efficiencies across metrics, automation and performance.

What this means is that standardisation needs to be implemented in such a way as to enhance the overall framework of the organisation without adding in cumbersome layers that inhibit growth and scale. And it is growth and scale and sustainability that should come hand-in-hand with standardisation.

A recent paper released by the Business Process Management Journal found that document-centric standardisation is essential to an organisation’s survival and growth. How?

  1. Creating equality. Document-centric standardisation brings balance to the diversity of employee approaches and methodologies. Every person has a different way of working, of approaching documentation and process, of handling their tasks. While their system may be intuitive to them, it will not necessarily be intuitive for others. By introducing process standardisation, it allows for best practice across multiple and diverse viewpoints to be consolidated into a centralised approach.

  2. Embrace a holistic approach. Bring together all the document processes that drive your organisation and connect with your customers into a centralised system. This will allow for you to embark on a journey towards ‘fundamentally re-engineering workflows and the ways of working’, and it will ensure that your organisation experiences sustainable and relevant change.

  3. Put people and technology on the same plane. Turning the business towards the potential that automation offers asks is less about throwing technology into existing cogs and gears within your infrastructure and more about making people, processes and technology a strategic imperative. You want automation? You want all the work you’ve put into document process standardisation to deliver long-term value? Focus on your core and your people.

Standardising your business processes allows for you to implement efficiencies throughout your organisation while also allowing for you to benefit from the far-reaching value introduced by automation. Document process automation will transform your business with intelligent data capture, accounts payable automation, electronic document and records management and by eliminating manual document processing.
